Introduction
The client brought one need to us, Airport Transportation, but their needs crossed over into daily transfers, executive travel, customer visits and employee recruiting. Their needs would require multiple solutions.
After our initial meeting, we identified the need to set up a multi-level booking process, the need for dedicated vehicles and drivers and an inherent flexibility to manage high-volume arrivals and departures into small windows of time.
Our plan was to design this system to support all of their business needs across multiple departments within their company while still delivering a high level of service.
Background
The client requires more than 3,500 airport transfers in any single calendar year. We have to treat them as 4 unique business categories, assigning a project team to build out the solution as it related to booking, vehicle options, program management and reporting.
We met with each business unit to understand their needs. We built each of them a custom solution, walked through the variables and laid out how we planned on executing. Each business unit also toured our own facilities, meeting our key players who would help execute the work.
Each set of meetings resulted in a clear business plan to manage the work flow and volume. Milestones were established through the process and goals identified and ultimately achieved. The end result would be a complete Airport Transportation solution.

Alternatives
While the solution was complex and took engagement from every department within Kevin Smith Transportation Group and our client’s, the alternative solution was easily dismissed.
Prior to sitting with us, other potential partners weren’t prepared for the complexities and wanted to present a one-size fits all solution, not offering any level of on-site management required for some of the work.
Simply put, the only viable solution was the one designed by working closely with the client to understand all of their needs.
Proposed Solution
The final solution again was a multi-level solution, customizing transportation and program management based on the individual business need. Each department was provided with a vehicle selection and a direct contact to work with.
In addition, each business unit would receive individual QBR’s so that lessons learned could be applied as the program matures. Other value-adds included a rotation of newer vehicles on a quarterly basis and access to exclusive high-end vehicles for their executives.
The program was rolled out over 90 days in 4 phases and individual benchmarks were met throughout the process. At the date of this posting, this program was being assessed by two additional clients who have similar needs.
Recommendations
