Employee Shuttle Services – A Case Study

Introduction

A 1,000 employee company approached us with a good problem to have.  Their recent growth required a high volume of new hires anticipated over the next 24 months and they needed to expand their markets where they could recruit.

Their concern was how they would be able to convince perspective employees to consider a different method of travel to work or accept a longer commute.

They approached us at Kevin Smith Transportation Group with an issue but no real solutions.  We sat down with them and worked to identify 5 core geographies they wanted to recruit from and then built out a transportation solution that would provide a viable option for their perspective employees.

Our solution was a multiple employee shuttle solution that provided daily round trip service between two park and rides and one regional rail line, allowing them to open up their recruiting to 62 unique towns they never previously targeted, allowing them the chance to increase their applicant pool to fulfill all of their existing positions while providing a funnel for the continued growth.

Background

For a suburban company to recruit from within Philadelphia, PA for example requires someone to commute 2 hours or more to sit in rush hour traffic twice a day.  This is not an attractive solution.

However, if we could reduce this commute by 30-40% and make it 100% stress-free by removing the traffic, our client believed they could tap into a significantly larger applicant pool.

So our challenge was to provide a cost-effective and most importantly, a convenient solution for employees to travel back and forth to work.  By leveraging similar type solutions already in place with clients in Bucks, Chester, Delaware and Montgomery counties, we were able to tap into our experiences to build out the perfect solution for this new client.

Alternatives

Interestingly enough, there weren’t any real alternatives to implementing a ground transportation solution.  Expecting perspective employees to change their commute, degrade their home/life work balance and deal with increased costs for transportation were simply obstacles they couldn’t overcome.

They also knew not expanding their recruiting base would negatively impact their ability to manage their revenue growth.  They simply had to find new ways to recruit and they needed a solution they hadn’t thought about previously.

Proposed Solution

Located near a regional rail line, we proposed providing morning and afternoon shuttle services.  Between 7am and 9am, we would transfer from the train station to their offices.  From 5pm to 7pm, we would bring those same employees back to the train station.

This multiplied by a factor of 50 the number of potential applicants they could target.  We assigned a dedicated, brand new shuttle to their route and also created a screen and badge system to ensure only their employees would ride the shuttle.

In addition, if the company ever needed a one-off transfer during the day, we would send over one of our luxury sedans so that they wouldn’t have to wait for the shuttle services to begin.

Recommendations

Some of the keys to a successful employee shuttle program are assigning a dedicated vehicle, utilizing the same highly skilled chauffeur and the ability to overcome the inevitable breakdown by having backup shuttles in your fleet.

We worked closely to understand their needs, built out a customized solution and now have an ongoing, successful employee shuttle program.  Overall, it is a program that has been highly successful for both the company and the employees.
